What the logbook is

The logbook is the document where the operator records every use of its jet skis: who rented it, when it left and returned, with which craft and under what conditions. It works as your fleet's activity history and is what shows, in an inspection, that you operate in an orderly and traceable way.

It can be kept on paper (one notebook per base) or digitally. What matters is that it's complete, up to date and available when requested.

Is it mandatory?

The rental activity requires keeping documentation and traceability of each operation, and Harbour Masters can require the activity record in an inspection. Although the exact format can vary by area, keeping an orderly logbook is an expected practice and protects you against claims or incidents.

Check with your Harbour Master whether a specific format or a stamped book is required; in some areas the requirement is stricter than in others.

What data each entry must contain

Each line of the logbook should let you reconstruct a complete rental. At a minimum:

  • Date and time of departure and return.
  • Craft identification (registration or hull number).
  • Details of the customer who rented it (name and ID).
  • License or format (own license, guided or baptism).
  • Responsible instructor, if applicable.
  • Incidents: breakdowns, delays, damage or penalties.
  • Confirmation that safety equipment was handed over (life jacket, etc.).

How to keep the logbook, step by step

  1. 01Before each departure, record the craft, the customer and the departure time.
  2. 02Record the customer's license or the format (guided or baptism) and the assigned instructor.
  3. 03Confirm and note the handover of the life jacket and safety gear.
  4. 04On return, record the return time and any incident (damage, delay, penalty).
  5. 05Close the entry and file it so you can retrieve it by date, craft or customer.
  6. 06Periodically check that no data is missing: an incomplete entry is as good as none.

Common mistakes that work against you

The most common mistake is filling it in 'later': at the end of the day, from memory. In peak season gaps pile up and, when the inspection or claim arrives, exactly the data for the problem rental is missing.
  • Incomplete or illegible entries.
  • A single notebook that gets wet, lost or left at another base.
  • Not recording the format or instructor for baptisms.
  • No record that safety equipment was handed over.

From notebook to automatic logbook

The logbook is the perfect example of an admin task nobody wants to do and that, nonetheless, protects you. The solution isn't 'write it down better': it's to have it fill itself in.

With Solnow, every rental that goes through the system is recorded automatically: craft, customer, times, format, instructor, contract signature and check-in with QR boarding scan. The logbook is generated compliant with the rules, multi-base and searchable by date, craft or customer, with no one writing anything by hand.

It's part of Solnow's automatic after-sales: logbook, reviews and customer profile, on autopilot when each activity closes.

Frequently asked questions

What exactly is the jet ski logbook?+

It's the document where every use of your fleet's jet skis is recorded (craft, customer, times, conditions and incidents). It serves to prove an orderly, traceable operation in an inspection or a claim.

Is keeping a logbook mandatory?+

The activity requires keeping documentation and traceability of each rental, and Harbour Masters can require it. The exact format can vary by area, so check with your Harbour Master whether a specific format is required.

Can I keep it digitally instead of on paper?+

Yes. A digital record is usually more reliable: it isn't lost, it's legible, it's consulted instantly and it lets you keep one logbook per base without loose notebooks. Check with your Harbour Master whether the digital format is accepted in your area.

What data can't be missing from each entry?+

At a minimum: date and times of departure and return, craft identification, customer details, license or format, instructor if applicable, handover of safety equipment and incidents.

How do I automate the logbook?+

With Solnow each rental is recorded on its own (craft, customer, times, format, instructor, signature and QR check-in) and the logbook is generated compliant, multi-base and searchable. We'll show you in a demo.
