The blind spot of booking software

A multi-base operator knows how much they have sold, but not what is happening right now at the base forty kilometres away. They find out a craft came back late once it has already derailed the next three bookings, and they find out from a phone call, not from the system.

That blindness has a direct cost: dropped slots, customers waiting on the dock, and bad reviews over something that twenty minutes of warning would have solved.

QR check-in at boarding

  1. 01The customer arrives with their QR code, either from the contract signed at the desk or from the online booking.
  2. 02Staff scan it from their phone and the system validates on the spot that payment is done, the contract is signed and the documentation is in order.
  3. 03The real departure is recorded, with time, assigned craft and fuel level.
  4. 04On return, the drop-off and any incident are recorded, and the craft is released for the next slot.

Scanning works offline, because coverage on many docks is patchy. Records are stored on the device and sync as soon as the signal is back.

Alerts that arrive before the problem does

  • A craft running late on its return, with the minutes accumulated
  • A departure not registered when the slot has already started
  • A base with more bookings than available craft in the next hour
  • An incident logged by staff during the activity

Alerts reach both the base manager and the general manager, so the decision to reshuffle the schedule is taken with room to spare rather than after the fact.

Frequently asked questions

Do I need special hardware to scan the QR codes?+

No. Staff use their own phones. There are no dedicated scanners or terminals to buy.

Does it work when there's no coverage on the dock?+

Yes. Check-in is offline-first: it records boarding on the device and syncs when the connection returns.

Can I see several bases at once?+

Yes. The dashboard shows bases grouped or separately, with each one's fleet status on the same screen.

Does it replace the base manager's paper worksheet?+

That is the point: departures, returns, fuel and incidents are all recorded in the boarding flow, with no parallel notebook.
